1. Introduction
This Acceptable Use Policy ("AUP") governs your use of Vinyl's services, website, and applications (collectively, the "Services"). By using Vinyl, you agree to comply with this AUP. Vinyl reserves the right to modify this AUP at any time, with changes becoming effective upon posting to our website or notification to users.
This AUP is incorporated into and subject to the Vinyl Terms of Service. Terms not defined in this AUP have the meanings given to them in the Terms of Service.
2. Prohibited Activities
When using the Services, you must not engage in or facilitate any of the following prohibited activities:
2.1 Illegal or Harmful Content
You may not use the Services to record, transcribe, store, or share content that:
- Violates any applicable law, regulation, or legal right of any person or entity
- Is defamatory, libelous, fraudulent, or deceptive
- Promotes illegal activities or contributes to physical harm against any group or individual
- Contains unlawful discriminatory content or hate speech
- Infringes upon or violates any intellectual property rights
- Contains sexually explicit or pornographic material
- Depicts violence or cruelty
- Contains malware, viruses, corrupted files, or any other similar software that may damage the operation of the Services or another's computer
2.2 Security Violations
You may not use the Services to:
- Gain unauthorized access to any network, system, or account
- Attempt to probe, scan, or test the vulnerability of the Services or any associated system or network
- Circumvent or bypass any security or authentication measures
- Conduct denial of service attacks or other activities designed to disrupt the Services
- Use automated tools, robots, or scripts to access the Services unless explicitly permitted
- Reverse engineer or decompile any portion of the Services
- Access, search, or collect data from the Services by any means not officially offered by Vinyl
2.3 Interference with Others
You may not use the Services to:

- Impersonate any person or entity, or misrepresent your affiliation with any person or entity
- Engage in fraudulent activity or misrepresentation
- Conduct unauthorized marketing or spamming activities
2.4 Recording and Transcription Ethics
You may not:
- Record or transcribe meetings without obtaining proper consent from all participants
- Use the Services to record sensitive discussions for purposes of blackmail, coercion, or other malicious intent
- Misuse meeting transcriptions by taking statements out of context or manipulating content
- Share or distribute meeting recordings or transcriptions with unauthorized parties
2.5 System Abuse
You may not:
- Use the Services in a manner that puts an unreasonable or disproportionately large load on Vinyl's infrastructure
- Attempt to artificially inflate usage metrics or manipulate the Services in any way
- Create multiple accounts for deceptive or abusive purposes
- Use the Services primarily as a storage service rather than for its intended purpose of meeting transcription and analysis
3. Content Moderation and AI Ethics
3.1 AI-Generated Content Responsibility
You are responsible for reviewing AI-generated transcriptions and summaries before using them for important decisions or sharing them with others. Vinyl's AI systems strive for accuracy but may occasionally:
- Misinterpret speech or generate inaccurate content
- Make assumptions that do not reflect the intent of meeting participants
- Misattribute statements to incorrect speakers
- Omit relevant information or incorrectly summarize complex discussions
3.2 Prohibited Uses of AI Features
You may not use Vinyl's AI capabilities to:
- Generate misleading or synthetic content designed to appear authentic
- Create falsified meeting summaries or action items
- Manipulate transcription features to produce deceptive documentation
- Train your own AI models using Vinyl's transcriptions without permission
4. Fair Usage Policy
4.1 Resource Limitations
Vinyl is designed for reasonable, professional use. Your use of the Services must not exceed normal usage patterns and should align with the intended purposes of the Services.
4.2 Excessive Usage
Vinyl reserves the right to limit or restrict usage that exceeds reasonable usage patterns, including but not limited to:
- Excessive automated or batch transcription beyond typical meeting scenarios
- Continuous recording for unreasonable periods
- Uploading unusually large volumes of audio files for transcription
- Scripted or programmatic creation of excessive meetings or transcription requests
4.3 Storage Limitations
Free accounts and certain paid subscription tiers may have storage limitations. You are responsible for managing your content within these limitations. Vinyl reserves the right to limit storage or apply additional charges for excessive usage beyond the limits of your subscription tier.
5. Account Security Requirements
5.1 Authentication Responsibilities
You must:
- Keep your account credentials secure and confidential
- Use strong passwords and update them regularly
- Enable multi-factor authentication when available
- Log out from shared devices after use
- Promptly notify Vinyl of any suspected unauthorized access
5.2 Account Access
You must not:
- Share your account credentials with unauthorized users
- Allow multiple individuals to use a single account, unless expressly permitted by your subscription type
- Attempt to access the Services through unauthorized means
- Use someone else's account without permission
6. Reporting Violations
If you become aware of any violation of this AUP, please report it immediately to hello@usevinyl.com. Please provide the following information:
- Identification of the alleged violation
- Identity of the person or entity allegedly violating the AUP
- Supporting information or evidence
- Your contact information
Vinyl will investigate reports and take appropriate action at its discretion.
7. Enforcement
7.1 Investigation
Vinyl may investigate potential violations of this AUP. You agree to cooperate with such investigations and provide any information reasonably requested by Vinyl.
7.2 Enforcement Actions
If Vinyl determines, in its sole discretion, that you have violated this AUP, Vinyl may take any of the following actions:
- Issue a warning
- Temporarily suspend your access to the Services
- Permanently terminate your access to the Services
- Remove or disable access to content that violates this AUP
- Take legal action, including seeking injunctive relief, damages, or both
- Report the violation to law enforcement or regulatory authorities
7.3 No Monitoring Obligation
Vinyl has no obligation to monitor the Services or to search for violations of this AUP. However, Vinyl reserves the right to review, monitor, or investigate your use of the Services at any time without prior notice.
8. Corporate and Enterprise Users
8.1 Administrative Responsibility
If you are using the Services on behalf of a company or organization, administrators must:
- Ensure all users are aware of and comply with this AUP
- Implement appropriate internal policies for the ethical use of recording and transcription tools
- Monitor usage within their organization for compliance
- Take appropriate action when violations are identified
8.2 Corporate Compliance Programs
Enterprise customers are encouraged to include Vinyl usage guidelines in their compliance programs, addressing:
- Meeting recording notification requirements
- Internal approval processes for recording sensitive meetings
- Data classification for meeting transcriptions
- Proper handling and storage of meeting recordings and transcripts
9. Compliance with Recording Laws
9.1 Consent Requirements
You must comply with all applicable laws regarding the recording of conversations, which may include:
- One-party consent laws, which require at least one participant to consent to recording
- Two-party or all-party consent laws, which require all participants to consent to recording
- Additional requirements for cross-border or international recordings
9.2 Notification Requirements
Before recording a meeting, you must:
- Clearly notify all participants that the meeting will be recorded
- Explain that the recording will be transcribed and processed by AI tools
- Provide participants with the opportunity to leave the meeting if they do not consent
- Maintain records of consent where required by law
9.3 Special Categories of Data
You must take extra precautions when recording meetings that may involve:
- Health information subject to HIPAA or similar regulations
- Financial information subject to financial privacy laws
- Children's information subject to COPPA or similar laws
- Biometric information
- Other specially protected categories of information
10. Export Control Compliance
You must comply with all applicable export control laws when using the Services. You may not use the Services to export, re-export, transfer, or make available any content, data, or technology:
- To any country subject to trade sanctions or embargoes
- To any individual or entity on government restricted parties lists
- For any prohibited end-use, including nuclear, chemical, or biological weapons development
